Office Assistant
The work
This is basic office support work performed within well established processes. Work requires the operation of personal computers and other office equipment; may require communication with the public.
Differs from the Administrative Assistant which includes structured administrative support work of average difficulty and complexity. Limited independent judgment is exercised under general supervision.
Examples of Work performed:
Collects, sorts, opens, and/or distributes mail.
Sorts and files correspondence and documents in a record or filing system(s). Retrieves material from files upon request and keeps records of the movement of file materials.
Checks and maintains inventory, licensing, registration and other operating or administrative records.
Maintains necessary reports, documents, log sheets, indexes, and/or statistics on prescribed forms.
Posts routine invoices, vouchers, and other statistical records according to standard procedures.
Enters information into pre-existing word processing templates and form letters, database forms, and spreadsheets.
Prepares routine correspondence and documents from rough draft or detailed instructions.
Reviews submitted documents for accuracy and required necessary attachments for completeness.
Operate office equipment and personal computers.
Required Knowledge, Abilities and Skills
- Knowledge of English, spelling, grammar, and basic arithmetic.
- Knowledge of the operation of office equipment and personal computers.
- Knowledge of standard formats for letters, memos and reports.
- Knowledge of record keeping and reporting methods.
- Ability to learn and apply rules, regulations, office policies and procedures.
- Ability to use basic word processing, spreadsheet and database applications.
- Ability to enter information from rough draft or plain copy.
- Ability to record, file and transmit information.
- Ability to communicate effectively both verbally and in writing.
- Ability to establish and maintain effective working relationships.
- Ability to understand and follow step-by-step verbal and written instructions.
Entry
There are no set entry requirements for work as a office assistant, however, previous voluntary experience may be useful.
You should be in good physical health. There is no maximum age for entry and maturity and life experience is an asset. Many employers conduct a police check.
